Q-LawE comes with the ability to insert digital signatures into Word documents at the time of merging but there is a little setup required before use.

Setup

The first step is to activate the digital signature firm preference. From the Maintenance Menu, choose the System Maintenance – Admin tab and then select [Firm Preferences]. Choose the Misc Preferences tab and then use the ID field to locate the DIGISIGN preference; check the box to activate it. Click [Save] then [Exit].

Next, create the needed image and document files. This must be done for each user who will be utilizing digital signatures.

  • Signature file – a BMP file must be created from the signature and stored in the Q-LawE directory – .\Q-LawE\Signatur\[username].bmp – with [username] replaced by the Q-LawE username for that individual
  • Create a blank word document named Sign.doc saved in C:\Q-LawE\temp1\sign.doc.

Note: this must be done on the user’s workstation in their C: drive.

  • Create a blank word document named Username.doc saved in .\Q-LawE\Signatur\[username].doc, which includes the user’s digital signature.
    • Open a blank Word document
    • Click on Insert > Picture > From File
    • Choose the BMP file created in the first step (u:\Q-LawE\signatur\[username].bmp) in the navigation box
    • Save the document as .\Q-LawE\Signature\[username].doc

The final step is to link the signature file to the user within Q-LawE.

  • In the Maintenance Menu, go to the System Maintenance – Admin tab and then select [Users]
  • Select the user from the grid to the right and click [Edit]
  • On the Calendar/Letter/Email tab, in the Signature file field, either type in the location to the BMP file or use the […] button to open a file explorer window and navigate to the file.

Use

To include a signature on a Word document, place cursor where the signature should be. In the toolbar, choose Insert > Object > Create from File > Browse. Navigate to the c:\Q-LawE\temp1 folder and choose the Sign.doc that was created in the first Step 2. Check the box next to Link to File and then click the OK button.
